1. Overview
Hearth & Hero Studio (“we”, “us” or “our”) develops and operates the ChoreForge mobile application (“ChoreForge” or “the App”).
ChoreForge is designed for families and allows parents or legal guardians to create and manage a family group in which children can complete chores and quests, earn virtual XP and coins, and track their progress.
We take the privacy of children particularly seriously. This Privacy Policy explains what personal information we collect, why we use it, how it is protected, who it may be shared with, and the rights available to users.
We process personal information in accordance with applicable UK data protection law, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and, where applicable, the Privacy and Electronic Communications Regulations 2003 (PECR).
We also design ChoreForge with regard to the protections expected for online services likely to be accessed by children.
2. A Short Privacy Note for Children
If you use ChoreForge as a child, we only need a small amount of information to make your ChoreForge profile work.
Your parent or guardian creates and manages your family group.
We may store the name or nickname you use in the App, the quests you complete, your XP and virtual coins, and other information needed to show your progress.
We do not show advertisements in the child facing part of ChoreForge.
We do not use your ChoreForge activity to create an advertising profile about you.
If you or your parent wants to know what information we have about you or wants information deleted, you can contact us at contact@hearthandhero.com.
3. Information We Collect
Parent and Guardian Accounts
When an adult creates or uses a ChoreForge parent account, we may process:
Account information: This includes the email address associated with the account and authentication information required to sign in.
If you use Google Sign In, authentication is provided through Google and Firebase Authentication. We do not receive or store your Google password.
Family information: This includes the Family Code or other identifier used to connect members of the same family group and the settings or information required to operate that family group.
Technical information: We may process limited technical information needed to operate, secure, diagnose and improve the App, such as app version, operating system or device information, error information and security logs.
Analytics information: Within parent managed areas of ChoreForge, we may collect limited information about how the App is used so that we can understand performance, diagnose problems and improve features.
Child Profiles
Child profiles cannot create independent ChoreForge accounts. They exist within a family group created and managed through an authenticated adult account.
For a child profile, we may process:
Profile information: A first name, nickname or other display name chosen for use inside the family group.
Family association: The information necessary to connect that child profile with the appropriate ChoreForge family group.
Chore and quest information: Tasks or quests assigned to the profile and information about whether they have been completed.
Gamification information: XP, virtual coins, progress, reward history, achievements and similar in app statistics.
We encourage families to use a first name or nickname rather than entering unnecessary identifying information.
4. Information We Do Not Ask Children to Provide
ChoreForge is designed around data minimisation.
We do not ask child profiles to provide their own email address, telephone number, postal address, precise geographical location or device contacts.
We do not intentionally collect information about a child’s racial or ethnic origin, religion, political opinions, health, biometric information, sexual orientation or other special category personal information.
Parents should not enter sensitive personal information into names, quest descriptions or other free text fields.
5. Why We Use Personal Information and Our Lawful Bases
We only process personal information where we have a lawful reason to do so.
| Purpose | Information | Lawful basis |
|---|---|---|
| Creating and authenticating an adult account | Adult account and authentication information | Necessary to provide the service requested by the adult and perform our contract with them |
| Providing ChoreForge family features | Family group, child profile, chore, quest and gamification information | Our legitimate interests in providing the family management service requested by the adult, balanced against the rights and best interests of the child |
| Securing accounts and preventing misuse | Account, security and limited technical information | Our legitimate interests in protecting ChoreForge, its users and our systems |
| Diagnosing faults and maintaining the App | Limited technical and diagnostic information | Our legitimate interests in maintaining a safe and reliable service |
| Non essential analytics in adult areas | App usage and technical analytics information | Consent where required by PECR and other applicable law |
| Advertising in adult areas | Limited advertising and device information where advertising is enabled | Consent where required by applicable law |
Where we rely on legitimate interests in relation to children’s information, we must give additional weight to the rights, freedoms and best interests of the child.
We do not rely on legitimate interests to target children with advertising.
6. Children, Parents and Family Accounts
ChoreForge is designed so that an adult establishes and controls the family account.
Children cannot independently create an adult account.
Parents and guardians can manage child profiles and household information through the parent facing part of the App.
We seek to collect only the minimum amount of information reasonably necessary to provide the ChoreForge experience.
A parent or guardian may request access to, correction of or deletion of information associated with their family account. Children may also have data protection rights in their own information, depending on their age and understanding.
Where appropriate, we will take the child’s interests and rights into account when responding to requests concerning their information.
7. Analytics and Similar Technologies
ChoreForge may use Google Analytics for Firebase and related Firebase services to help us understand how the App performs, identify technical problems and improve the parent experience.
Non essential analytics collection is not used to track children for advertising purposes and should not operate while the child facing experience is active.
We do not use child profile information such as names, chores, XP, virtual coins or reward history to create advertising audiences.
Where analytics or similar technologies store information on or access information from a user’s device and consent is required under PECR, we will obtain the appropriate consent before enabling that non essential processing.
We aim to configure Google Analytics user level and event level data with a short retention period appropriate to the limited purpose for which we use it.
8. Advertising
The child facing interface of ChoreForge does not display advertisements.
Advertising may be displayed within clearly separated parent facing areas of the App. This may include banner advertising or an optional rewarded advertisement such as a “Support the App” feature.
Child profile information is not used to select advertising.
We do not sell children’s personal information and we do not use children’s ChoreForge activity for behavioural advertising.
Where advertising technology requires consent or access to information stored on an adult user’s device, the relevant advertising technology will only be enabled in accordance with applicable privacy requirements.
If we introduce or change an advertising provider, we will update this Privacy Policy and our applicable app store disclosures to identify how that provider processes information.
9. Third Party Services
We use third party providers to operate parts of ChoreForge.
Google Firebase provides services that may include Cloud Firestore database functionality, authentication and other infrastructure required to operate the App.
Firebase Authentication is used to securely authenticate adult accounts.
Google Sign In may be used by adults who choose to sign in using their Google account.
Google Analytics for Firebase may be used for limited analytics and performance measurement as described above.
These providers process information in accordance with their own contractual and data protection obligations.
We may also disclose information where we are legally required to do so, for example in response to a valid court order or other binding legal requirement.
We do not sell personal information to third parties.
10. International Data Transfers
Some of the service providers we use, including Google, operate infrastructure internationally. This means personal information may sometimes be processed outside the United Kingdom.
Where personal information is transferred internationally, we require an appropriate legal mechanism and safeguards to be in place in accordance with UK data protection law.
These may include processing in countries recognised as providing adequate protection or contractual safeguards approved for international data transfers.
11. Data Security
We take reasonable technical and organisational measures to protect the information processed through ChoreForge against unauthorised access, loss, alteration or disclosure.
ChoreForge uses Google Firebase infrastructure. Firebase services use protections including encryption of data in transit, and relevant Firebase and Google Cloud services provide encryption protections for stored data.
Access to family information is restricted through authentication and application security controls.
No internet connected service can guarantee absolute security, but we design ChoreForge to minimise the amount of personal information collected and to limit access to it.
12. How Long We Keep Information
We do not keep personal information for longer than necessary for the purpose for which it was collected.
Adult account information, family group information, child profiles, quests, XP, virtual coins and reward information are normally retained while the associated family account remains active.
When a family account or child profile is deleted, we will remove the associated information from our active systems where it is no longer required.
Some residual copies may remain temporarily in encrypted backups or within our service providers’ systems while their normal deletion processes are completed.
Certain Firebase services may retain deleted authentication or service information within backup systems for a limited period after deletion.
Where Google Analytics is used, we configure a limited retention period for user level and event level analytics information.
We may retain limited information for longer where this is reasonably necessary to comply with a legal obligation, resolve a dispute, investigate abuse or protect the security of the service.
13. Your Data Protection Rights
Depending on the circumstances and the lawful basis we rely upon, you or your child may have rights under UK data protection law.
These can include the right to ask us for a copy of personal information we hold, to correct inaccurate information, to request deletion of information, to restrict certain processing, to receive certain information in a portable format and to object to processing carried out on the basis of legitimate interests.
Where processing is based on consent, that consent may be withdrawn at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.
These rights are not absolute in every circumstance, but we will consider any request in accordance with applicable law.
To make a request, contact:
We may need to take reasonable steps to confirm the identity and authority of the person making a request before disclosing or deleting personal information.
14. Complaints
If you have a concern about how we use personal information, please contact us first at contact@hearthandhero.com so that we can investigate.
You also have the right to raise a complaint with the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator.
15. Changes to This Privacy Policy
We may update this Privacy Policy when ChoreForge changes, when we introduce new services or providers, or when legal or regulatory requirements change.
The latest version will be published on the Hearth & Hero website with an updated “Last Updated” date.
The current policy will be available at:
https://www.hearthandhero.com/choreforge/privacy
Where a change materially affects how we process personal information, we will take reasonable steps to bring the change to users’ attention.
